Summary of Position: We are in search of an exceptionally skilled office professional capable of providing both receptionist and administrative support. This individual will be the “face” of the Company serving as the primary point of contact with visitors, clients, tenants, vendors and, therefore, must possess a highly professional image, demeanor and phone presence. This position is also accountable for performing a variety of administrative duties and tasks in support of our various teams. The ideal candidate must exude a proactive, positive attitude at all times and be effective at collaborating, communicating, multi-tasking, organizing and prioritizing to ensure smooth day-to-day operations of the Front Office.
YOUR DUTIES WILL INCLUDE:
Greet all visitors (tenants – our clients, vendors, meeting attendees, etc.);
Answer incoming calls and direct to the appropriate team members;
Respond to emails and texts in a timely and efficient manner;
FedEx, UPS - Manage inbound and outbound deliveries;
Coordinate conference room schedule / ensure AV equipment is operating;
Monitor and order all supplies (office, conference room and kitchen);
Procure catering needs for meetings and special events as requested;
Order floral arrangements as required.
Office Assistant responsibilities included, but not limited to:
Execute administrative assignments effectively and efficiently;
Conduct online research effectively;
Assist with projects;
Provide support for all other office-related duties and responsibilities.
3+ years of administrative/reception desk experience.
Ability to work 8:30am to 5:30pm.
Solid communication skills (written and oral).
Strong computer skills; ability to conduct online research effectively.
Ability to deliver exceptional customer service.
Proficient with Microsoft Office Suite.
Bachelor degree preferred but not required.
